NeuronVitals ("we", "us", "our") provides a WhatsApp AI assistant and a management dashboard for clinics and healthcare practices. This policy explains what information our platform handles, why, and the choices you have.

Who is responsible for your data

When you message a clinic that uses NeuronVitals, that clinic decides why and how your information is used, and NeuronVitals processes it on the clinic's behalf to run the service. Each clinic's data is kept in its own separate database and is not mixed with any other clinic's data.

Information we process

Depending on how a clinic uses the platform, we may process:

• Your name and phone number
• Messages you send to the clinic on WhatsApp, and the replies sent to you
• Appointment details such as date, time and reason for visit
• Intake details you choose to share, such as age, height, weight, medical conditions, medications and dietary preferences
• Payment status for services you pay for (we do not store card numbers)

How we use it

• To reply to your messages and book, change or cancel appointments
• To prepare diet charts and follow-up reminders requested through the clinic
• To let the clinic's staff see your conversation and records in their dashboard
• To keep the service secure and working

We do not sell or rent personal information, and we do not use it for advertising.

Services that help us run the platform

To provide the service, information may be processed by these providers, only as needed:

• Meta (WhatsApp Business Platform), to send and receive WhatsApp messages
• Anthropic, whose AI model writes the assistant's replies
• Razorpay, to process payments
• Our hosting and email providers, to run the servers and send notifications

Storage and security

Information is stored on secured servers with restricted access, and each clinic's records sit in a separate database. We use reasonable technical and organisational measures to protect against unauthorised access, loss or misuse. No system is completely risk-free.

How long we keep it

Records are kept while the clinic uses the platform, or as the clinic instructs, and are deleted or returned to the clinic when its service ends, unless the law requires us to keep them.

Your choices

You can ask to see, correct or delete your information. Because the clinic controls your record, we may pass your request to the clinic. You can also stop messaging the clinic at any time.

Changes to this policy

We may update this policy. The date at the top shows when it last changed.
